NetSuite ↔ HubSpot on Celigo

NetSuite HubSpot integration on Celigo — close deals in HubSpot, fulfill them in NetSuite

Sales teams living in HubSpot and finance teams living in NetSuite creates a gap that manual handoffs can't close reliably. Entech builds Celigo integrations that automate the full HubSpot–NetSuite data flow: deals become orders, contacts become customers, and invoice status flows back to HubSpot automatically. No spreadsheet handoffs, no missed records. A standard build takes 4–6 weeks and is quoted as a fixed scope after a discovery call; Celigo platform licensing is quoted separately by Celigo.

NetSuite HubSpot integration: three ways to do it

There are three ways to connect NetSuite and HubSpot: a prebuilt template on an integration platform such as Celigo, a custom build against both APIs, or a template extended with custom logic. Celigo's documentation lists six prebuilt flows in its HubSpot–NetSuite Quickstart template: HubSpot companies to NetSuite customers, HubSpot contacts to NetSuite contacts, and HubSpot deals to NetSuite sales orders, plus, in the other direction, NetSuite contacts to HubSpot contacts, NetSuite opportunities to HubSpot deals and NetSuite customers to HubSpot companies. Anything beyond those, such as invoice or payment status back to HubSpot, is configuration or custom logic on top.

ApproachBest whenWatch out for
Template on CeligoStandard objects (companies, contacts, deals) and you want it live quicklyCustom HubSpot properties, NetSuite custom fields and multi-subsidiary setups need extending
Template plus custom logicStandard flows plus your own field mapping, pricing or approval rules (what we usually build)Needs a field-mapping workshop and sandbox testing before cutover
Custom API buildAn unusual data model, or you want to own all the codeError handling, retries, monitoring and API changes are yours to maintain

Celigo’s marketing page for the same template lists a few more flows (leads, products and items), so check the flow list in your own install. Entech quotes a fixed scope after a discovery call, and Celigo quotes platform licensing separately based on your plan and volume. What you get

What this integration does

The core outcome: when a HubSpot deal closes, NetSuite gets the order automatically. When NetSuite invoices, HubSpot knows the payment status. No double entry, no lag.

What data moves and how

Celigo's HubSpot and NetSuite connectors handle the authentication and API calls. Entech configures the field mapping, transformation logic, and error handling for your specific setup.

Deal → Sales Order
HubSpot deal name, close date, amount, and line items (from HubSpot Products or a custom property) map to the NetSuite Sales Order header and line-item fields. The HubSpot deal owner maps to the NetSuite Sales Rep field for commission tracking. Deal ID is stored on the NetSuite record for future lookups without email matching.
Contact ↔ Customer sync
Contacts sync bidirectionally — HubSpot contact email is the primary key. On new contact in either system, a match check runs before creating to prevent duplicates. Name, phone, company, billing address, and custom properties map to their NetSuite counterparts. NetSuite Customer ID is stored on the HubSpot contact for reliable reverse lookups.
Invoice status → HubSpot properties
A scheduled Celigo flow polls NetSuite for invoice status changes every 15–30 minutes. When an invoice moves to Paid, the HubSpot deal's custom "Payment Status" property updates from "Invoiced" to "Paid" and the "Payment Date" property is stamped. Overdue invoices (past due date, status Open) trigger a separate property update and optionally enroll the contact in a follow-up sequence.
Company ↔ Subsidiary / Entity
HubSpot Companies map to NetSuite customers or subsidiaries depending on your NetSuite entity model. For multi-subsidiary NetSuite setups, Celigo's flow logic determines the correct subsidiary from a HubSpot company property (region, business unit, or country). This is typically the most company-specific mapping in the integration and where Entech's NetSuite expertise matters most.
What makes this hard

The parts that break DIY implementations

The pre-built Celigo connector handles the happy path well. These are the cases that require custom scripting and NetSuite-specific knowledge.

01
HubSpot line items → NetSuite item lookup
NetSuite Sales Orders require a valid item internal ID, not a text description. HubSpot product names rarely match NetSuite item names exactly. The integration needs a lookup step — either by SKU, by a custom cross-reference field, or by a fuzzy name match — before each line item can be written. Entech builds and maintains this lookup table as part of the integration.
02
Duplicate contact/customer detection
A HubSpot contact may already exist as a NetSuite customer (created before the integration went live) but with a slightly different email or no email at all. The Celigo flow needs match logic beyond exact email — phone number fallback, company + name matching, and a manual review queue for ambiguous cases. Without this, you get duplicate NetSuite customers that are hard to clean up later.
03
Multi-currency and tax handling
HubSpot deals in multiple currencies need to land in NetSuite with the correct currency, exchange rate, and tax code. NetSuite's tax engine requires a valid tax code per line item for revenue recognition — HubSpot has no equivalent. Entech configures a default tax code per country/region and handles currency conversion using NetSuite's exchange rate table rather than a hardcoded rate.
04
Historical data migration
Going live with the integration does not automatically populate HubSpot with NetSuite invoice history or NetSuite with historical HubSpot deals. Entech plans a one-time data load using Celigo's batch processing — importing historical records in the right order (customers before orders, orders before invoices) to maintain referential integrity without overwhelming either system's API rate limits.
Implementation

Typical project timeline

A standard NetSuite HubSpot integration runs 4–6 weeks. Complex setups with multi-subsidiary NetSuite, custom HubSpot objects, or large historical migrations take 6–10 weeks.

1
Discovery
Week 1
Field mapping workshop. HubSpot property audit. NetSuite entity model review. Deduplication strategy. Historical data scope.
2
Build
Weeks 2–3
Celigo flow configuration. Custom scripts for item lookup, duplicate detection, and currency logic. Sandbox testing against real HubSpot and NetSuite sandbox data.
3
UAT
Week 4
Client runs end-to-end test scenarios. Edge cases validated: multi-currency deals, partial payments, deal updates after order creation, contact merges.
4
Go-Live
Weeks 5–6
Production cutover. Historical data load. 2-week monitoring period with error review and flow tuning. Handover with runbook.
About scope creep
The most common source of timeline overrun is discovering additional HubSpot custom properties or NetSuite custom fields during UAT that were not in the original mapping document. Entech runs a thorough field audit in Week 1 to surface these early — but we also build the Celigo flows with extensible mapping so adding fields post-launch is straightforward.
Questions

Frequently asked questions

Does Celigo have a pre-built NetSuite HubSpot integration?

Yes. Celigo documents a HubSpot-NetSuite Quickstart integration template with six prebuilt flows: HubSpot companies to NetSuite customers, HubSpot contacts to NetSuite contacts, HubSpot deals to NetSuite sales orders, NetSuite contacts to HubSpot contacts, NetSuite opportunities to HubSpot deals, and NetSuite customers to HubSpot companies. Entech configures and extends the template for your HubSpot properties, NetSuite fields and business rules.

What data flows between NetSuite and HubSpot?

The core flows are HubSpot companies and contacts to NetSuite customers and contacts, HubSpot closed-won deals to NetSuite sales orders, and NetSuite contacts, opportunities and customers back to HubSpot. Items and products can also sync, and things like invoice or payment status back to HubSpot are added as custom configuration.

How long does a NetSuite HubSpot integration take to implement?

A standard NetSuite HubSpot integration on Celigo typically takes 4-6 weeks from kickoff to production in Entech's projects: discovery and field mapping (1 week), flow configuration and custom scripting (2 weeks), UAT in sandbox (1 week), and production cutover with monitoring (1-2 weeks). Multi-currency, multi-subsidiary NetSuite or custom HubSpot objects take longer.

How much does a NetSuite HubSpot integration cost?

Entech quotes NetSuite HubSpot integrations as a fixed scope after a discovery call, based on the objects you sync, custom fields, subsidiaries and historical data. Celigo quotes platform licensing separately based on your plan and volume. Entech's Celigo NetSuite integration cost guide explains what drives the price.

Should I use a template or build a custom NetSuite HubSpot integration?

Start from a template when your data model is standard, because it gives you prebuilt flows and monitoring. Add custom logic where your field mapping, pricing or approval rules differ. A fully custom build makes sense only when the data model is unusual or you want to own all the code, since error handling, retries and API changes then become yours to maintain.
